Legal work generates a strange amount of email that has to end up in a table. A matter closes and someone has to produce a chronology from three years of correspondence. A client sends a folder of saved messages and asks what the key dates were. Intake forms arrive by email all week and somebody types the same eight fields into the practice management system. None of that is glamorous and all of it is billable time going to data entry.

The confusing part is that the software marketed at this problem comes from three unrelated categories that all describe themselves as handling email. Buying from the wrong category is the expensive mistake, so this comparison sorts by job first and price second.

The three jobs, and what each one needs

Job one: turn saved messages into a review spreadsheet. You have a folder of .eml or .msg files. You need a sheet with sender, date, subject, and then the parts that matter to the matter: amounts, deadlines, named parties, reference numbers. This is field extraction, and it is where a parser earns its fee.

Job two: convert messages into a document format. You need every message as a PDF with headers intact for a production set, or you need a mailbox moved into a different client. Why a format converter usually disappoints on job one

This is the trap worth naming, because a desktop converter is cheap, well reviewed and looks like the obvious answer. Point it at a folder of messages, choose CSV, and you get a spreadsheet. The problem is what is in it: one row per message with To, Cc, Bcc, date, subject and the entire body squeezed into a single cell.

That is a message inventory. It is genuinely useful when you need to know what exists. It does not answer the question a legal team usually has, which is what the messages say. If the chronology needs a column for the amount demanded, or the notice date, or the contract reference, no format conversion will create it, because that column did not exist in the source file. Somebody still has to read every body cell and type the value across. What legal teams should test before buying

Pick fifteen messages from a real matter, and deliberately include the awkward ones: a long forwarded chain, a message where the key date is written in a sentence rather than a header, one with an attachment, one with a table. Run those fifteen through any tool you are evaluating and count how many cells still need a human afterwards. That number, multiplied by how often this task recurs, is the entire business case.

Can you use an email parser for e-discovery?

Not as a substitute for a discovery platform. An email parser extracts fields and produces a spreadsheet. It does not preserve chain of custody, apply legal hold, generate a privilege log, or produce a defensible collection record. For anything that will be challenged in court, a parser sits upstream of the platform as a way to build a working chronology or an internal review sheet, not as the system of record.

Work backwards from the deliverable. If the deliverable is a spreadsheet with meaningful columns, buy a field parser and test it on real messages this week. If the deliverable is a set of PDFs or a migrated mailbox, buy a desktop converter and pay once. If the deliverable is a production that opposing counsel will scrutinise, that is an e-discovery platform and the parser question is a distraction.

Most firms end up with two of the three, which is fine, because they are genuinely different tools. What matters is not buying one and expecting it to do the other job.
