NetSuite Vendor Bill Import from Email with a CSV Import Template
Stop keying emailed vendor invoices into NetSuite
Parse a month of vendor invoice emails and download one vendor bill import file with the columns the NetSuite Import Assistant maps: External ID, Vendor, Date, Due Date, Reference No., Memo, Currency, Expense Account, Expense Amount and Expense Memo, one row per bill. Upload .eml or .msg files, a .zip, or connect the AP mailbox over IMAP.
Connect a Gmail or IMAP mailbox to parse new mail automatically, or paste an email below to test the converter now.

For a NetSuite vendor bill import from email, turn each vendor invoice email into one row with an External ID, vendor, date, due date, reference number, expense account and amount, then load it in the Import Assistant under Setup, Import/Export, Import Tasks, Import CSV Records with Vendor Bill as the record type. MailParse reads the invoice emails (body, HTML tables, and digital PDF or CSV attachments on Plus and higher) and gives you that file as CSV or Excel.
- 10 columns
- External ID through Expense Memo
- 5,000
- Bills per downloaded file
- 2 file types
- CSV or Excel (.xlsx)
- 3 date formats
- MM/DD/YYYY, DD/MM/YYYY or ISO
NetSuite is very good at holding payables once they are in. Getting them in is the slow part. In most mid-size US companies the AP inbox is full of vendor invoices from SaaS billing systems, freight carriers, utilities and contractors, and somebody opens each one, reads the invoice number, the dates and the total, and keys a vendor bill by hand. At 50 bills a month that is an afternoon. At 500 it is a headcount question.
The CSV Import Assistant can create hundreds of vendor bills in one pass, but it needs a clean file, and building that file from email is the real work. MailParse does that step. It parses the invoice emails into fields and writes the vendor bill import file for you, so the AP clerk reviews rows instead of retyping them. If your company also runs a smaller entity on QuickBooks Online or Xero, the same parsed emails export in those layouts too, see importing bills into QuickBooks Online from email.
What the converter does
Everything you need to turn the email your team receives into a spreadsheet it can actually use.
Columns the Import Assistant maps
External ID, Vendor, Date, Due Date, Reference No., Memo, Currency, Expense Account, Expense Amount and Expense Memo. Each bill gets its own External ID, so a re-import with Update can find the same records again.
Invoice number in Reference No.
The vendor invoice number goes into Reference No., which is what your team searches on when a vendor calls about a payment. The Memo records which email address the bill came from, for the audit trail.
Expense account on every row
Type the account once before you download, for example 6100 Software Subscriptions if Use Account Numbers is on, or the account name alone if it is off, and every row carries it. Change single rows in the sheet when a vendor codes elsewhere.
Reads the body, tables and attachments
Values come from your saved fields first, then from labels such as Invoice No, Due Date and Amount Due in the subject, body and HTML tables. On Plus and higher it also reads the text of digital PDF and CSV attachments.
Currency only when the email states it
A bare dollar sign is also CAD, AUD and NZD, so Currency is filled only when the invoice shows a code or a symbol other than $. Otherwise NetSuite takes the currency from the vendor record.
No bill silently dropped
An email with no readable amount still gets a row with the amount empty, so the gap shows up in review instead of at month-end close. A missing due date falls back to the bill date.
How to import vendor bills into NetSuite from email
Four steps from an inbox of vendor invoices to open vendor bills in NetSuite.
Get the invoice emails in
Upload saved .eml or .msg files, a whole folder, or a .zip of up to 10,000 messages. Or connect the AP mailbox over IMAP, or forward invoices to your MailParse forwarding address so each one is parsed within minutes.
Name the fields once
Save fields such as vendor, invoice_number, due_date and amount_due. Labels written the usual way are picked up without setup, and your saved fields win when a vendor words things differently.
Download the NetSuite file
In Parse History choose NetSuite vendor bills, CSV or Excel, the period, the date format your account uses and the expense account, then download. Check vendor names against your vendor list before upload.
Run the Import Assistant
Go to Setup, Import/Export, Import Tasks, Import CSV Records. Choose Transactions and Vendor Bill, upload the file, map the columns, and save the mapping so next month is a two-minute job.
Who imports vendor bills into NetSuite this way
AP teams on NetSuite whose vendor invoices mostly arrive as email text or digital PDFs.
AP clerks at mid-size companies
Hundreds of recurring vendors bill by email every month. One parse and one import a week replaces the daily stack of manual Enter Bills screens.
Controllers closing the month
Pull last month in one file, compare the row count against the AP inbox, and catch the bill nobody entered before the close rather than when the vendor sends a past-due notice.
NetSuite admins avoiding custom scripts
A scheduled script that reads emails into the File Cabinet and creates bills is a development project to build and maintain. A parsed import file uses the Import Assistant you already have.
Outsourced accounting firms on NetSuite
Parse each client AP folder separately, download its file with that client expense account, and load a month of bills per client in minutes.
Why import vendor bills instead of keying them
One import instead of hundreds of forms
Enter Bills is fine for ten invoices. A CSV import creates the whole batch and the file doubles as a list of exactly what went in.
Fewer transposed numbers
Invoice numbers and amounts are copied from the email text, not retyped, so a 1,245 versus 1,425 slip stops reaching the ledger.
Nothing to install in NetSuite
No SuiteApp, no SuiteScript and no new role permissions. The Import Assistant is standard, and nothing in this flow touches vendor payments.
The data stays reusable
The same parsed emails export to Excel, CSV or JSON for spend analysis or a vendor audit, so the parsing work is done once.
Ways to get emailed vendor invoices into NetSuite compared
Four routes are realistic for a NetSuite AP team. Which one fits depends on whether your bills arrive as email text, digital PDFs or scans, and on whether you need approvals and PO matching inside the capture tool.
| Decision point | MailParse plus CSV import | Keying into Enter Bills | NetSuite Bill Capture | AP automation suites |
|---|---|---|---|---|
| How bills get in | Parses the invoice emails, then one Import Assistant run per batch | A person reads each email and types the bill | Upload or email each file, review it on the Scanned Vendor Bills page | Vendors email a dedicated AP address, the suite handles intake |
| Invoice written in the email body or an HTML table | Yes, plus digital PDF and CSV attachment text on Plus and higher | Yes, by hand | Works on attached files (PDF, JPEG or PNG) | Varies by product |
| Scanned or photographed paper | No, digital text only. No OCR of scans | Yes, a human reads anything | Yes, it reads image files | Yes, usually with OCR |
| PO matching and approvals | No, it prepares the bills and NetSuite takes it from there | Whatever your NetSuite workflow does | Uses your NetSuite matching and approval setup | Yes, that is what you pay for |
| Setup | None inside NetSuite, a saved import mapping | None | Bill Capture feature, plus the Transaction Email Capture SuiteApp for email | An onboarding project and an integration |
| Best for | High volume of bills that already arrive as email text or digital PDFs | Very low volume | Teams that want capture inside NetSuite, one file at a time | Larger AP teams that need approvals and payment runs |
Bill Capture details are from Oracle NetSuite help; check your own account for the features you have licensed. MailParse does not post bills into NetSuite from this page: it gives you the import file, and the Import Assistant creates the vendor bills when you run it.
Frequently asked questions
How do I import vendor bills into NetSuite?
Use the Import Assistant at Setup, Import/Export, Import Tasks, Import CSV Records. Choose Transactions, then Vendor Bill, upload your CSV, map External ID, Vendor, Date and the expense line Account and Amount, and run the import. Save the mapping so later imports reuse it.
Is there a NetSuite vendor bill import template?
NetSuite does not hand you a fixed file; the Import Assistant maps whatever columns your CSV has. A working template needs a unique External ID per bill, a vendor reference, a date and at least one line with account and amount. MailParse produces a file with exactly those columns, filled from your invoice emails.
Should the Vendor column be a name or an internal ID?
Oracle recommends an internal ID or external ID because names can be ambiguous. MailParse writes the vendor name found in the email. If your vendor names are unique and match the email, map by name; if not, swap in the internal ID with a lookup against a vendor saved search before you upload.
How do I format the Account field for a vendor bill import?
It depends on the Use Account Numbers preference under Setup, Accounting, Accounting Preferences. When it is on, use number and name together, for example 6100 Software Subscriptions. When it is off, use the account name only. Type it once in MailParse before downloading and every row gets it.
Can I import expense lines and the bill header in one file?
The MailParse file puts one expense line on the same row as its bill, keyed by External ID, which suits single-line vendor bills. Oracle notes that expense sublists are often imported as a second linked file; if your admin prefers that, move the three Expense columns plus External ID into their own CSV.
Does this replace NetSuite Bill Capture?
It covers a different slice. Bill Capture reads PDF, JPEG and PNG files one at a time and uses your NetSuite matching and approvals. MailParse reads invoices that arrive as email text or digital PDFs in bulk and gives you an import file. Teams with scanned paper keep a capture tool for that part.
Does MailParse pay vendors or post directly into NetSuite?
No. It only prepares the bill data and the import file. It never touches your bank, vendor payments or approvals, and it does not write into your NetSuite account. Bills are created when you run the Import Assistant, and you pay them the way you do today.
Which plan includes the NetSuite import file?
Every paid plan includes the NetSuite, QuickBooks Online and Xero bills import files in CSV or Excel. Reading digital PDF and CSV attachment text starts on Plus. You can parse 3 of your own emails before signing up to see which fields it finds.
