How does Email Parser by Zapier work?

Email Parser by Zapier gives you a dedicated mailbox address, learns a template from one sample email, and then extracts the fields you labeled out of every future email sent to that address. You send mail to the address, the parser matches it against your template, and the labeled values flow into a Zap that routes them to another app.

The whole model is template matching. It does not understand an email the way a person does; it remembers where, in a sample message, each piece of data sat, and looks for the same shape in the next message. That is why it is fast to set up for one consistent sender and why it gets fragile the moment messages vary.

How do I set up the Zapier email parser?

Go to parser.zapier.com, select Create Mailbox to generate a custom address like [email protected], and send a representative email to it. When the message appears in the template view, highlight each value you want and give it a label, then choose Save Address and Template. Those labels become fields in your Zap.

Two details make a real difference to accuracy. Keep each value you want to capture on its own line where you can, because the parser keys off line position. Where you cannot, separate values with a non-space delimiter like the pipe character so the tool can find the boundary between one field and the next. After saving, build a Zap that uses the new parser mailbox as its trigger and maps the labeled fields to your destination app.

Is the Zapier email parser free?

Yes. Email Parser by Zapier is free to use, and parsing an email does not consume a Zap task on its own. You only spend tasks on the downstream Zap steps that act on the parsed data, such as adding a row to a sheet or creating a CRM record, which fall under your normal Zapier plan limits.

How do I extract data from an email in Zapier?

After your template is saved, every email sent to the parser mailbox is matched against it, and the labeled values are available as fields in your Zap. You add an action step, pick the destination app, and drop each parsed field into the right column, cell, or record property. From then on the extraction happens automatically on every matching email.

The data types people pull this way are exactly what you would expect: order numbers, contact details, shipping and tracking info, form responses. The catch is that the parser only reliably returns those values when the incoming email matches the template it learned. A message that arrives in a different layout produces blanks or wrong fields.

Can the Zapier email parser read attachments?

Not the contents. Email Parser by Zapier can pass an attachment along as a temporary download link, and if an email carries more than one file it bundles them into a single zip, but it does not open a PDF, spreadsheet, or image and pull data out of it. The links it provides also expire, so they are not a durable store.

There is also a 25 MB per email size limit to keep in mind. The parser locks onto the exact positions and labels in your sample, so when a sender reorders lines, rewords a label, wraps a value onto a second line, or switches to a redesigned layout, the template stops matching and your fields come back empty or shifted. The Zap keeps running; the data just goes missing.

This is the structural weakness of template-based parsing. The logic is easy to set up once, but real senders change their emails on their own schedule, and each change is a template you have to go back and re-teach. The more sources you parse, the more often something quietly breaks, and you often find out only when the downstream record is wrong.
